Smart Capture: your bank messages become suggested entries
Most fleet payments already leave a trace: a bank SMS, a UPI alert, a FASTag recharge email. Smart Capture turns those into suggested entries with the vehicle, driver or trip filled in. You review each one and nothing is posted until you tap Accept.
Definition
Smart Capture is the FleetLite feature that reads payment messages (bank, UPI, card and FASTag SMS or emails) and turns each one into a suggested entry, such as a fuel fill, toll, driver advance or customer receipt, which a person must accept, edit, split or reject before anything is recorded.
How does Smart Capture work?
Smart Capture works in steps: capture the message, filter out OTPs and personal texts, parse the amount, payee and reference, match it to your vehicles, drivers, trips and parties using rules and trip timing, then show a suggestion card. You accept, edit, split or reject it, and the app learns from your choice.
- Fuel-station debit → fuel entry (asks litres and odometer).
- FASTag recharge or toll → FASTag entry matched to the trip.
- UPI to a driver → driver advance or salary.
- Workshop, tyre or spares payment → maintenance or tyre entry.
- EMI auto-debit → loan EMI; insurance premium → insurance renewal.
- Customer credit → payment receipt allocated to open invoices; bank charges → general expense.
Is anything posted automatically?
No. This is the rule the feature is built on. Suggestions live in their own inbox and never create an expense, fuel entry or ledger line until a user taps Accept. Bulk accept is available for high-confidence suggestions, but it is still your action. Rejected or ignored payees stay out.
Each suggestion is checked against manual entries by reference number, amount and time, and possible duplicates are flagged before you accept.
Where do the messages come from?
You choose the sources, with consent recorded for each. Every company gets a unique forwarding email address for bank and FASTag emails. You can upload bank statements. The Android driver app can read payment SMS on the device in a separate build, subject to Google Play approval of the SMS permission.
iPhones cannot read SMS, so email forwarding and statements are the route there. Raw messages are deleted automatically after a retention period.

Frequently asked questions
Does Smart Capture read my personal SMS?
No. The filter keeps only bank, UPI, card and FASTag senders; OTPs and personal messages are dropped on the device before anything is sent.
Which plans include Smart Capture?
All plans. Basic includes 100 suggestions a month, Pro 2,000 and Premium 10,000.
Can one payment be split into several entries?
Yes. Split one debit into several entries, for example diesel and a toll paid together, before accepting it.
Can I stop suggestions from a payee?
Yes. Choose “Always ignore payee” on a suggestion, or add a matching rule with auto-ignore. Rules can also set a default vehicle, driver or supplier.
